Business energy steps when closing or disposing of a site

What should we do about energy when closing, selling or leaving a business site?

A property exit does not automatically end an energy contract or settle the account. Confirm the contractual route, notify the supplier, record final meter evidence and establish the exact date on which responsibility changes. Keep enough evidence to answer later bills, credits or disputes.

Check the contract before the exit date

Establish whether closure, vacancy, assignment or change of tenancy permits termination, creates charges or leaves the organisation responsible. Notify the supplier through its required channel and retain the acknowledgement.

Create a defensible handover record

Record every electricity and gas supply, the legal entity leaving, the responsibility end date and the incoming owner or occupier information that can properly be shared.

  • Dated final meter readings and photographs
  • MPAN, MPRN and meter serial numbers
  • Completion, surrender or vacation evidence
  • Final invoice and credit destination
  • Keys, access and meter-location details
  • Status of landlord and common-area supplies

Do not delete the site from the estate register

Change its status and retain the history. Later invoices, reconciliations and disputes need the relationship between the former location, supply point, contract and responsible company to remain traceable.
