How to build a reliable multi-site energy register

What information should we hold for every site and energy supply?

A useful energy register connects each legal customer and physical location to its electricity and gas supply points, meters, contracts, consumption and accountable people. It is not simply a list of addresses or bills. Build it from evidence, record uncertainty and give each field an owner and review date.

Use a connected record, not one blended spreadsheet row

Keep the company, location and supply point as distinct records. One company may occupy several locations; one location may contain several electricity and gas supplies; and responsibility for a supply can change without the physical meter moving.

  • Legal customer name and company number
  • Site name, address, postcode and occupancy status
  • MPAN, MPRN, meter serial number and meter type
  • Supplier, product, contract dates and notice terms
  • Annual and interval consumption with data period
  • Landlord, tenant and internal responsibility
  • Evidence source, confidence, owner and last checked date

Reconcile before using it for procurement

Compare the register with bills, signed contracts, meter photographs and supplier or network records. Flag duplicates, missing supply points, old occupiers, estimated reads and uncertain responsibility rather than silently choosing one value.

Make change control part of normal operations

Update the register when sites open, close, move, acquire equipment or change occupier, supplier or meter. Assign an operational owner and a finance owner, and retain a history so later bills and disputes can be understood.
